Press Release 101: Craft a Standout Release & Capture the Attention of Journalists, Bloggers, and Influencers

To successfully launch a product or promote an event, you need to master the art of writing a compelling press release. Think of your press release as the introduction to your story. Without it, you might miss the chance to connect, and the journalists and influencers won’t be familiar with your company’s narrative. In this essay we’ll provide you with some inspiration and insight into how to make a standout release.

Why Do I Need a Press Release?

You might be wondering, “Why do I really need a press release?” Especially because social media rules the roost now and press releases seem like a thing of the past. Let’s talk about why press releases, also called media advisories, are important now.

Although press releases were more pivotal in the past, they are still very relevant and actually even crucial when it comes to today’s news media.

So, how important is a press release?

Press releases are the most effective tools for attracting attention to your event. They not only capture the interest of journalists but also:

  • Attract influencers, bloggers, and others with large followings
  • Help you establish contacts in the media
  • Improve your visibility on search engines
  • Build credibility for your brand
  • Spread your message effectively
  • Raise awareness about your latest news.

While press releases have traditionally been a way to capture media attention, today’s press releases are far from traditional. First, they’ve evolved significantly, now featuring video, infographics, and other other dynamic elements.

Another thing that’s changed is the method for delivering information to journalists has also evolved, with new ways to send out the releases. We have several methods, from emailing to newswire to the actual website.

Press Release Tips

Here are two hot tips for you to create the best and most effective press release

#1 Stick to Basics

Avoid getting overly creative with your media advisory. Journalists are more likely to pick it up if it’s clear and straightforward. Stick to the tried-and-true format that public relations professionals have used for decades. Consistency is key.

#2 Include Essential Elements

The key elements to include in a press release are:

  • Your contact information
  • The location (state, county, or city) of the announcement
  • Who, When, What, Where, and Why details about your event
  • A brief company biography

Structure of a Press Release

The structure you follow when creating a press release is incredibly important. Let’s go over some of these elements:

  1. Headline: Create a title that is both effective and informative. Catchiness isn’t important, though it can earn you brownie points in some instances.
  2. Introduction: A short 2 sentence summary of what the press release is about
  3. Body: 3 to 4 paragraphs expanding on the main points
  4. Quotes: Include 1 to 3 quotes from relevant people summarizing key aspects or highlighting important side points
  5. Company Description: Briefly describe the company in one paragraph
  6. Contact Information: Provide contact details for press inquiries

Answer the 5 Ws

Answer the 5 Ws or the 5 Questions in the press release. This is ideally done within the first two sentences. If you are inviting press to an event, the 5 Ws are your entire press release. You can even just write out the words: Who, What, When, Where, Why.

What are the 5 Questions?

  1. Who is involved in the news story? Who are the key players
  2. What is the press release about? What announcement are you making?
  3. When did the story happen or when will it happen? What time and what date?
  4. Where did the story take place? This is important for the “where stamp” on the first line and also for media advisories regarding upcoming events.
  5. Why should people be interested in the story? What is newsworthy about this event release?
